3. Complete Shipping Procedure

GlobalAxis Logistics follows the general procedures below when coordinating a shipment.

Step 1: Submit a Shipping Request

Customers must submit a shipping inquiry through our website, email, WhatsApp, or other official communication channels.

The inquiry should include:

  • Full name or company name.

  • Email address and telephone number.

  • Cargo collection address.

  • Destination address or port.

  • Type of cargo or goods.

  • Cargo weight and dimensions.

  • Number of packages or containers.

  • Preferred shipping method.

  • Expected shipping or delivery date.

  • Any special handling requirements.

Providing complete and accurate information helps us prepare an appropriate shipping quotation.

Step 2: Shipment Assessment and Quotation

After receiving the inquiry, GlobalAxis Logistics will review the shipment details and assess available transportation options.

A quotation may include:

  • Freight transportation charges.

  • Pickup or collection charges.

  • Origin handling fees.

  • Destination handling fees.

  • Port or terminal charges.

  • Documentation fees.

  • Customs-related services, where requested and available.

  • Delivery or trucking charges.

  • Insurance costs, if requested.

  • Other applicable service-provider charges.

The quotation will specify the services included, applicable exclusions, payment requirements, and validity period where available.

A quotation is not a confirmed booking until accepted and confirmed in writing.

Step 3: Customer Acceptance and Booking Confirmation

Customers who wish to proceed must confirm acceptance of the quotation in writing.

Depending on the shipment, GlobalAxis Logistics may require:

  • Acceptance of the quotation.

  • Completed shipping instructions.

  • Shipper and consignee information.

  • Commercial invoice.

  • Packing list.

  • Cargo photographs, where required.

  • Applicable permits or certificates.

  • Deposit or full payment, according to the agreed payment terms.

Once the required information and payment arrangements are accepted, we will coordinate the booking with the relevant transportation provider.

Customers will receive booking confirmation when the arrangement has been confirmed.

Step 4: Cargo Preparation and Packaging

Customers are responsible for preparing cargo for transportation unless packing services have been specifically agreed upon.

All cargo should be:

  • Properly packed and secured.

  • Clearly labelled.

  • Protected against normal transportation and handling conditions.

  • Accompanied by accurate cargo descriptions.

  • Prepared according to applicable carrier requirements.

For fragile, valuable, hazardous, refrigerated, or oversized cargo, special packaging and handling arrangements may be required.

Customers must disclose any special cargo requirements before booking.

Step 5: Cargo Collection or Delivery to the Loading Facility

Depending on the agreed service, cargo may be:

  • Collected from the customer’s premises.

  • Delivered by the customer to a designated warehouse.

  • Delivered to a port or container terminal.

  • Delivered to an airport cargo facility.

  • Collected from a supplier or another agreed location.

Pickup dates and times are subject to confirmation by the relevant transportation provider.

Customers must ensure that cargo is ready, accessible, properly packed, and accompanied by the required documentation.

Additional charges may apply if collection is unsuccessful due to incorrect addresses, unavailable cargo, restricted access, or other customer-related circumstances.

Step 6: Cargo Inspection and Documentation

Cargo may be subject to inspection, weighing, measurement, security screening, or customs examination.

Depending on the shipment, the following documents may be required:

  • Commercial invoice.

  • Packing list.

  • Bill of Lading (ocean freight).

  • Air Waybill (air freight).

  • Certificate of Origin.

  • Export declaration.

  • Import declaration.

  • Customs permits or licenses.

  • Dangerous Goods Declaration, where applicable.

  • Other documents required by the origin or destination authorities.

Customers are responsible for supplying accurate documents and ensuring that the shipment complies with applicable regulations.

GlobalAxis Logistics may coordinate documentation assistance where agreed, but customs authorities retain control over inspection, assessment, and clearance decisions.

Step 7: Shipment Dispatch and Transportation

Once cargo has been accepted and the transportation booking is confirmed, the shipment will be arranged for dispatch.

Depending on the selected service, transportation may involve:

  • Road transportation.

  • Ocean vessel transportation.

  • Air transportation.

  • Warehouse transfers.

  • Transshipment through connecting ports or airports.

  • Final-mile delivery arrangements.

The shipment schedule and estimated transit time will depend on the carrier, route, cargo type, and operational conditions.

Customers will be advised of relevant dispatch or shipment information when available.

Step 8: Shipment Tracking and Updates

Where tracking information is provided by the transportation provider, GlobalAxis Logistics will share the available tracking reference or shipment status with the customer.

Tracking information may include:

  • Cargo collection confirmation.

  • Warehouse or terminal receipt.

  • Departure confirmation.

  • Vessel or flight information.

  • Transshipment updates.

  • Arrival notification.

  • Customs clearance status, where available.

  • Final delivery status.

Tracking updates depend on the information supplied by the carrier or logistics provider. Some shipments may have limited tracking visibility.

Step 9: Arrival and Customs Clearance

When cargo arrives at the destination port, airport, or other receiving facility, it may be subject to customs inspection and clearance procedures.

Customers or their appointed customs representatives must provide any additional documents requested by the relevant authorities.

Unless expressly included in the written quotation, the customer is responsible for applicable:

  • Import duties.

  • Taxes, VAT, or GST.

  • Customs examination charges.

  • Clearance fees.

  • Port or terminal charges.

  • Storage charges.

  • Other government-imposed fees.

GlobalAxis Logistics cannot guarantee customs clearance, prevent inspections, or determine the amount of duties assessed by customs authorities.

Step 10: Final Delivery or Cargo Collection

After the shipment has arrived and all required clearance and payment conditions have been satisfied, the cargo may be:

  • Delivered to the customer’s designated address.

  • Delivered to an agreed warehouse.

  • Made available for collection at the destination port or airport.

  • Transferred to a local delivery or trucking provider.

Final delivery is subject to destination access, local transportation availability, cargo release authorization, and any outstanding charges.

Customers should ensure that an authorized recipient is available to receive the shipment.

Step 11: Proof of Delivery and Shipment Completion

Where provided by the delivery provider, proof of delivery may include:

  • Signed delivery receipt.

  • Delivery confirmation.

  • Cargo collection receipt.

  • Photographic delivery evidence.

  • Other available shipment completion records.

Customers should inspect the cargo immediately upon receipt and report visible damage, shortages, or discrepancies as soon as possible.

The final shipping cost depends on the cargo, route, transportation method, and services requested.

Additional charges may arise from:

  • Incorrect cargo weight or dimensions.

Customers are responsible for complying with import regulations in the destination country.

Customs authorities may delay, inspect, assess, reject, or seize shipments in accordance with applicable laws.

10. Cargo Insurance

Cargo insurance is not automatically included in shipping quotations unless expressly stated.

Customers are encouraged to obtain appropriate insurance coverage, particularly for high-value, fragile, refrigerated, or specialized cargo.

Any insurance arrangement will be subject to the insurer’s terms, conditions, exclusions, and approval.

Customers are responsible for ensuring that the receiving location is accessible and that an authorized recipient is available.

Additional charges may apply where:

  • The recipient is unavailable.

  • Required payments remain outstanding.

  • Cargo is not collected within the permitted period.

Uncollected cargo may be subject to storage, return, disposal, or other procedures permitted by the relevant provider and applicable law.

13. Cancellations and Shipment Amendments

Customers must submit cancellation or amendment requests in writing.

Changes to the shipment may result in additional charges, including carrier amendment fees, cancellation penalties, storage, documentation, or transportation costs already incurred.

Refund eligibility will depend on the agreed quotation, services already performed, third-party charges, and applicable law.
